Learn how to organize lists in Excel in simple language

Excel software sorts data according to certain rules. We can sort numerical data in ascending or descending order. Also arrange the text in alphabetical order A to Z and Z to A.

 We can also sort them by font color or cell color.

This option is available in the Data tab and in the Sort & Filter group .

We can sort the data as follows:

Numerical values:

Numerical values, including date and time, are categorized from lowest (negative) to highest (positive). Excel does not consider the format of the cell and only sees its contents and performs the sorting operation accordingly. Date and time are classified according to their own numerical values.

Text:

The texts are classified according to their initials and are displayed in ascending or descending order.

Empty cells:

Empty cells are always classified in the last step. For example, descending sorting changes the sorting order from the end to the beginning, but this does not happen in empty cells because these cells are always in order and do not change and are placed in their previous cell. Take.

Let’s take an example to understand how we can sort data according to the above methods:

We have data in the range A1: B14 . Column A contains the names of the delegates and column B contains the revenue.

To sort data by number (in this example, the number is the same as revenue), follow these steps:

  • Select cell A1 .
  • Go to the Data tab, in the Sort & Filter group , click on the Sort option .
  • The Sort dialog box appears.

  • In the Column group , select Revenue ($) .
  • In the Sort on group , select Values .
  • In order , if you want to ascending sorting options smallest to largest and descending sorting option if you want the largest to smallest to choose from.
  • The OK button

Follow the steps below to sort the data by text:

  • Select cell A1 .
  • Header Data go, in the Sort & Filter in the Sort button.
  • The Sort dialog box appears.
  • In the Column group , select Agent’s name .
  • In the Sort on group , select Values .
  • In order , A to Z or Z to A Select.
  • The OK button
